Executive Assistant

Type of employment: Part-time term (up to one year)

• Degree in Public Administration, Business Administration or related experience
• 3 – 5 Years’ experience in public or private sector administration
• Experience in working with community based nonprofit sector
• Experience with Boards of Directors, board governance and standing committees

Roles and Responsibilities:

Provide administrative support to the Board of Directors
• Together with the CEO, facilitate communication and relevant information sharing between JHSS Operations and JHSS Board of Directors
• Act as recording secretary for Board of Directors and Board Committees
• Coordinate agendas and materials for advance distribution to Board of Directors (quarterly), and Committees (monthly, semi-annually).
• Coordinate on behalf of Provincial Office, materials and activities related to Annual General Meeting (June)
• Support committee planning and implementation of annual Board Retreat/Strategic Planning
• Support the development, editing and maintenance of Board Policies and procedures, the JHSS Governance Manual, and other documents as required
• Facilitate Board of Directors annual reporting requirement to John Howard Society of Canada
• Coordinate travel arrangements/ expenses for Board of Directors
• Provide writing and edit functions for Board Directors’ writings and reports
• Update the Board of Directors SharePoint
• Other duties/special projects as assigned by the Board of Directors

Provide administrative support to the Chief Executive Officer
• Recording secretary for stakeholder/executive/ management meetings
• Provide edit and writing functions for CEO/JHSS reporting, briefings and correspondence
• Coordinate and/or contribute to the following:
o JHSS ENDS reporting documents (Quarterly)
o Assist CEO with JHS Canada Annual reporting and Renewals as required (August-September)
o Provincial web-site monitoring for edits and updates in collaboration with Communications Consultant and Branches
o Assist HR Administrator with SK Human Rights Commission -Employment Equity Partner Annual Reporting – (May-June)
o Research and analysis as required
• Other duties/projects as assigned by the CEO

Provide administrative support to Provincial Office /Branch Functions

• Work in partnership with Provincial Office staff on assignments and special projects as required (Strategic Development)
• Responsible for JHSS Operations Policy review, revisions and development as required
• Provide Policy support to Provincial Staff as required
• Monitor JHSS funding agreements for compliance and quality assurance; proposals, deliverables, reporting and outcome analysis, in collaboration with JHSS Management
• Support JHSS Management in ensuring funding agreement compliance
• Coordinate JHSS Provincial Office and Branch Office ENDS reporting (Quarterly)
• Collaborate with Branch Executive Directors, Provincial Office and Communications Consultant to foster positive and effective communications ( JHSS Newsletter, JHSS Annual Report, Staff Communiques, JHSS Events, promotions and education activities)
• Lend support to the Funds Development Committee
• Perform Other duties/special projects as required
